Thermal Label Printer Setup for Online Sellers (4x6 Labels)
To set up a thermal label printer for 4x6 shipping labels, install the driver, load direct thermal labels, let the printer calibrate to the label gap, create a 4 x 6 inch (100 x 150 mm) paper size in the driver and print one test label at 100% scale. The same setup works for Meesho, Flipkart and Amazon labels.
What you need before you start
You need five things before you start: the printer, labels, a cable, the driver and one label PDF to test with.
- A thermal label printer that takes 4-inch-wide labels.
- 4 x 6 inch (100 x 150 mm) direct thermal labels, on a roll or as a fan-fold stack.
- The USB cable and power adapter that came with the printer.
- The driver for your printer model and your computer, from the maker’s website or the disc or card in the box.
- A cropped label PDF to test with. The free shipping label crop tool makes one from any marketplace label PDF.
Direct thermal or thermal transfer
Most shipping label printers are direct thermal, and that is the right type for marketplace labels. Check which type you have, because the labels you buy must match it.
| Type | How it prints | What to buy | Good for |
|---|---|---|---|
| Direct thermal | Heat darkens a heat-sensitive label | Direct thermal labels only | Shipping labels, which are needed for days or weeks |
| Thermal transfer | Heat melts ink from a ribbon onto the label | Labels and a ribbon | Labels that must last for a long time |
How to set up a thermal label printer step by step
Setting up a thermal label printer takes seven steps, and you do them once.
- Place the printer near the packing table, connect the power and the USB cable, and switch it on.
- Install the driver for your exact model. Use the maker’s driver, not a generic text-only driver.
- Load the labels with the printing side facing the print head, and move the paper guides until they touch the label edges without pressing them.
- Close the cover and let the printer calibrate. Many printers feed a few labels and stop at a gap when you close the cover or hold the feed button; the manual for your model gives the exact method.
- Open the printer preferences on your computer and create or choose a 4 x 6 inch (100 x 150 mm) paper size.
- Set the darkness to a middle value and the speed to medium. You can adjust both after the test print.
- Print one test label from a cropped PDF at 100% scale and scan its barcode with your phone.
Driver settings for 4x6 shipping labels
The driver needs the right paper size, the right label type and no scaling. Names differ a little between printer brands, but these are the settings to look for.
| Setting | Value | Notes |
|---|---|---|
| Paper or stock size | 4 x 6 inch, or 100 x 150 mm | Save it as the default so you do not set it every day |
| Label type | Labels with gaps | Tells the printer to find the gap between labels |
| Print method | Direct thermal | Choose thermal transfer only if you use a ribbon |
| Orientation | Portrait | The cropped PDF is already turned to fit |
| Scale in the print dialog | 100% or "Actual size" | Never "Fit to page" |
| Darkness and speed | Medium to start | Raise the darkness if bars look grey |
How to print marketplace labels after setup
After setup, every marketplace label is printed the same way: crop the PDF to 4x6, then print at 100%. Marketplace PDFs come as A4 pages with an invoice, so they cannot be sent to the printer as they are.
Use the Meesho label crop tool, the Flipkart label crop tool or the Amazon label crop tool, and choose "4″ × 6″ Thermal" as the paper size. The tool remembers the paper size on your device. For the choice between 4x6, 4x4 and A4, see Meesho and Flipkart label size and printer settings.
Thermal printer setup checklist
The setup is complete when one test label passes all of these checks.
- The whole label is printed, with a small even border on all four sides.
- The printer stops at the gap, so the next label starts at its top edge.
- The barcode scans with a phone.
- The text is dark and sharp, not grey.
- The 4 x 6 inch paper size is saved as the printer default.
If the test label is not right
If the test label is cut off, shifted or spread over two labels, the paper size or the calibration is wrong. Our guide on fixing labels that print cut off or shifted goes through each case. For Amazon labels, which are images and need a darker print, see printing Amazon Easy Ship labels on a thermal printer.
Frequently asked questions
What is a 4x6 label in millimetres?
About 100 x 150 mm. Printer drivers and label packs use either name, and both mean the same standard shipping label.
Do thermal label printers work with a phone?
Some models print from a phone over Bluetooth or the maker’s app, and some work only with a computer. Check your model. A USB connection to a computer is the most dependable for daily batches.
How do I calibrate a thermal label printer?
Most printers calibrate when you load labels and close the cover, or when you hold the feed button: the printer feeds a few labels and learns where the gap is. The manual for your model gives the exact steps.
Are roll labels or fan-fold labels better for shipping?
Both print the same. A roll sits inside the printer or on a holder; a fan-fold stack sits behind the printer and feeds in through the back slot. Choose what your printer and your table have room for.
How long do direct thermal labels last?
Long enough for a parcel to be delivered. Heat, sunlight and rubbing make the print fade, so keep spare rolls in a cool, dark place.
